Code of Conduct

Vision:

GSR makes research accessible, unlocking growth on personal and societal levels through a studentled conference. We redefine student initiatives at KFUPM, setting new standards in quality, excellence, and sustainability while building a legacy as the first international, student-led research conference in the world, showcasing KFUPM on the global stage. In five years, GSR will be a global hub for innovation, collaboration, and student-led excellence.

Our Pledge:

We, the members of GSR, commit to fostering a dynamic and inclusive conference environment that delivers exceptional experiences for all our constituents, including students, faculty, sponsors, guests, and visitors. We pledge to ensure that their experiences are informative, entertaining, and memorable. Additionally, we are dedicated to maintaining and enforcing a harassment-free and nuisance-free environment. 

Scope:

This code applies to all activities and interactions conducted under the name of GSR, whether in physical or digital spaces. It is binding for all members, Leaders, and volunteers. 

Key Principles:

The following are principles that should always be followed to the best of one’s ability in the relevant scope applicable.

Laws and Regulations:

All participants must obey the laws and regulations of Saudi Arabia. Moreover, you must also adhere to the rules set by KFUPM.

Integrity:

Be honest and truthful, applying ethical principles impartially and consistently.

Accountability:

Take responsibility for your actions and acknowledge their consequences.

Confidentiality:

Keep GSR-related information private unless authorized to disclose it.

Teamwork:

Collaborate effectively, communicate transparently, and support fellow members.

Sustainability:

Use resources responsibly to ensure their availability for future generations.

Diversity:

Respect and embrace cultural, gender, and other differences.

Conflict Resolution:

Handle conflicts civilly, using peaceful means and seeking HR Committee assistance if needed.

Justice:

Act impartially and transparently, treating all members fairly and evaluating them without bias.

Professional Behavior

Adhere to the professional conduct guidelines below:

Maintain neat and clean appearance.

Be sure to follow KFUPM’s Dress Code.

Use appropriate language when addressing other people, especially when interacting with the other gender.

Avoid talking in sensitive areas such as:

Politics

Sexual/Romantic matters

Religion

Race/Ethnicity

Any other popular topic on which people are divided on

Ensure punctuality and meaningful engagement in all GSR matters by being on time, meeting deadlines, preparing for meetings, and respecting others' contributions.

In case of a conflict between you and one of your colleagues try to apply conflict resolution tactics like directly or indirectly addressing the issue calmly, seeking compromise and solutions and using the appropriate channels for complaints.

Maintain a professional contact policy. This means contacting other members through appropriate channels at appropriate times of the day using appropriate language and phrasing and contacting with clear purpose.

Harassment Avoidance:

Avoid any form of harassment, including sexual harassment. This includes:

Derogatory comments about gender/sex.

Inappropriate sexual comments or gestures.

Unwelcome touching or sexual advances.

Sharing sexually inappropriate images or jokes.

Any other actions or spoken or written word that any other member is not comfortable with.

Rights:

Human Rights: Having your human rights respected and applied as granted by Saudi Arabia.

Fair Treatment: Being judged fairly without prejudice based on gender, ethnicity, religion, or other characteristics.

Respect: Receiveing respect from all team members, with no tolerance for derogatory language or physical attacks.

Safety: Working in an environment free from physical or mental harm.

Training: Receiving the necessary training to perform your tasks effectively.

Leadership: Chairs are entitled to direct team members and guide them in their work.

Strategy: Chairs are entitled to participate in strategic decision making.

Responsibilities:

Duty Performance: Execute your tasks effectively and professionally, meeting specified standards.

Meeting Deadlines: Complete tasks within the specified timeframes.

Following Regulations: Adhere to all GSR and safety regulations.

Respecting Members: Show respect to fellow team members and encourage them to perform their best.

Planning and Organizing GSR: Chairs are responsible for effectively planning and organizing the GSR conference.

Welcoming Atmosphere: Chairs should establish a welcoming environment for all members.

Creating exceptional experiences: Chairs should strive to create the best possible experiences for visitors and guests.

Complaint Process:

In case of a perceived violation or a complaint, team members ought to contact the HR Committee to report the case. Complaints are expected to be reported in the procedures and means accepted by the HR Committee, otherwise they may be ignored. Complaints must also be sent through the proper channels according to the HR Committee.

Prohibition of Retaliation:

Threats, intimidation, or any other form of retaliation against a participant who has made a complaint or provided information in support of a complaint are prohibited. The GSR team will take appropriate action needed to prevent and respond to retaliation, in accordance with its applicable regulations, rules, and policies.
