Intellectual Property Policies

Purpose

This Intellectual Property (IP) Policy aims to outline the rights and permissions related to intellectual property generated and presented at GSR. This policy ensures that all parties understand their rights and responsibilities regarding the creation, presentation, and dissemination of intellectual property.

Scope

This policy applies to all participants of the GSR Conference, including students, faculty advisors, and other contributors involved in the research projects presented.

Definitions

    • Intellectual Property (IP): Creations of the mind, including inventions, literary and artistic works, designs, symbols, names, images, and research data.
    • Author: Any individual who contributes significantly to the creation of IP.
    • Contributor: Any individual who aids in the creation or presentation of IP without significant contribution to the creative process.
    • Conference Organizers: Individuals or groups responsible for the planning and execution of the conference.
    • Data Confidentiality: The protection of research data and results from unauthorized access, use, disclosure, modification, or destruction.

Ownership of Intellectual Property

    1. Student Authors: Students retain ownership of IP they create independently or collaboratively with other students.
    2. Faculty Advisors: If faculty advisors significantly contribute to the creation of IP, ownership will be shared based on the agreement between the student authors and faculty advisors.
    3. Collaborative Works: For works created collaboratively by multiple students and/or faculty, a written agreement outlining the ownership and rights of each contributor should be established prior to the presentation.

Rights and Permissions

    1. Presentation Rights: By submitting work to GSR, authors grant the conference organizers a non-exclusive, royalty-free license to display, reproduce, and distribute their work for the purpose of promoting and conducting the conference.
    2. Publication Rights: Authors retain the right to publish their work in academic journals, books, or other media. GSR may request permission to include selected works in conference proceedings or related publications.
    3. Commercial Rights: Authors retain all commercial rights to their IP.  GSR shall not claim any ownership or financial interest in the IP.
    4. Media Rights: By participating in the conference, you grant the conference organizers the right to document the event, including the abstracts and presentations with any possible data shown, through photography, videography, and other media. These media may be used for promotional purposes, documentation, and archives of the conference activities. If a presenter is not open to documentation of their presentation due to the nature of data and unpublished research, they may contact the GSR Registration and Content Committee to arrange such conditions.

Data Confidentiality

If an author(s) wishes to submit an abstract to the GSR Conference but requires that the research data remain confidential, they must contact the Registration and Content Committee and state the reasons for this request. The Registration and Content Committee will review the request and determine the appropriate measures to protect the data while facilitating the presentation.

Attribution

    1. Credit: All contributors to a research project must be appropriately credited in any presentation or publication of the IP.
    2. Acknowledgment: GSR should be acknowledged in publications resulting from the research presented at the conference.

Dispute Resolution

    1. Mediation: In the event of a dispute regarding IP ownership or rights, parties are encouraged to seek mediation through their institution's Office of Research and GSR Registration and Content Committee.
    2. Arbitration: If mediation fails, disputes may be resolved through arbitration in accordance with GSR’s Registration and Content Committee Rules.

Compliance

    1. Adherence: All participants must adhere to this IP policy as a condition of participating in the conference.
    2. Violation: Violations of this policy may result in disqualification from the conference and potential further action in accordance with GSR’s policies.

Amendments

This policy may be amended by the conference organizers with approval from the institution’s administration. Participants will be notified of any changes to the policy in a timely manner.

GSR Conference Embargo Policy

Purpose

The Global Student Research (GSR) Conference is dedicated to providing a platform for showcasing innovative research conducted by students around the world. To maintain the integrity and significance of the research presented at the event, the GSR conference has established the following embargo policy.

Embargo Period:

The embargo period for the GSR conference begins on the date of abstract submission and ends on the final day of the conference. During this time, authors are not permitted to publicly disclose any part of the research work that has been submitted to the GSR conference.

Permitted Activities:

Within the embargo period, student authors are allowed to:

    • Share the research work internally with their academic advisors, research group members, and fellow students for the purposes of feedback and refinement.
    • Present the work at internal seminars, poster sessions, or colloquia within their own educational institution.
    •  Incorporate the research findings into class assignments, projects, or coursework.

Prohibited Activities:

During the embargo period, student authors are not permitted to:

    • Publish the research work in any form, including preprint servers, conference proceedings, or journal articles.
    • Present the research work publicly at any other conference, meeting, or event outside of their home institution.
    • Discuss or share the research work with any media outlets for the purpose of news coverage or press releases.
    • Post details about the research work on personal websites, social media, or other public platforms.

Exceptions and Extensions:

In exceptional circumstances, student authors may request an exemption from the embargo policy or an extension of the embargo period. Such requests must be submitted in writing to the GSR Organizing Committee and will be reviewed on a case-by-case basis.

Violation of the Embargo Policy:

Failure to comply with the GSR Conference Embargo Policy may result in the rejection of the abstract submission or the withdrawal of the accepted paper from the conference program. The GSR Organizing Committee reserves the right to take appropriate actions in case of any embargo policy violations.

GSR Conference Submission Agreement

Introduction

By submitting your research work to GSR, you agree to abide by the terms and conditions outlined in this Submission Agreement. This agreement ensures clarity regarding the ownership, rights, and permissions associated with the intellectual property (IP) presented at the conference.

Agreement Terms

  1. Intellectual Property Ownership

    • 1.1 You, the Author(s), retain ownership of the IP you create independently or collaboratively with other students. 
    • 1.2 If any faculty advisors or other contributors significantly contribute to the creation of the IP, ownership will be shared based on an agreement between the Author(s) and the contributors.

Declaration

By Accepting this agreement, you acknowledge that you have read and understood the Intellectual Property Policy and The Embargo Policy of GSR Conference and agree to the terms and conditions outlined in this Submission Agreement.
